Aberdeen Performing Arts required an application that would work in their office 365 SharePoint environment to efficiently manage their Leave Requests. Having the process previously based on paper it made reporting, usability and auditability very difficult. The new system would allow users to submit Leave Requests for approval, which, once approved, would e displayed onto the Team calendar.
Aberdeen Performing Arts needed an automated system that would automatically route Leave Requests to the appropriate Line Manager for approval. The application also needed to cater for Holiday allowances / entitlements and Holiday cancellations.
An application was implemented to allows anybody within the company to create a new Leave Request (for Holiday, or Authorises Leave: e.g Extended Sickness, Compassionate, Paternity, Maternity, Study Leave). The application has a workflow to get the Leave Request approved or cancelled. The appropriate Line Manager will then be notified of the new Request and can then add an electronic signature to approve or reject the Leave request. When approved, the requester is notified via email and the Request appears in the Team calendar. Each user can have different holiday entitlement / allowance and they can check it easily from within the application. Due to the potential volume of the Requests, Line Managers would receive a daily digest / summary email informing them of items requiring their attention. Several views were required to enable easy and quick use of the application and facilitate reporting (such as Personal, Line Manager, and a few calendar or timeline views to show all approved view by different departments.
Certain users properties (Department, Line Manager, Job Title) are synchronised with Active Directory and used to pre-populate relevant data in the form and also for approval.
